Manual Cleaning Outlook/Exchange

When you upgrade from an older version of the InfoBridge Synchronizer to the V2 Synchronizer you can use the Clean tool which is provided in the new setup.
But in some situations a manual cleaning of Outlook/exchange is needed.

In cases of other software than the InfoBridge Synchronizer being in use it is advisable to manualy clean the Outlook/Exchnage Calendars.

Attached you will find a guide on how to perform this clean action.

Upgrading synchronizer from 3.2.xx to 3.2.24

Upgrading synchronizer from 3.2.xx to 3.2.24

In order to upgrade the Synchronizer from version 3.2.xx to version 3.2.24 you do not have to clean the calendar like in the upgrade from V1 to V2.
All Settings will remain present in the Synchronizer admin

Stop the Synchronizer
Start the Synchronizer setup
During the setup you will receive a message saying that an older version of the synchronizer has been found. Click Yes on the question if you want to remove the older version.
The setup will continue after the removal of the old version
During the setup you will have to enter the credentials of the SyncUser for the InfoBridge Synchronizer Service
At the end of the setup the License Key Manager will be started. Logon with your SuperOffice credentials and check if the license information is correct. Click Exit to return to the Setup wizard.
Click Finish to end the Synchronizer setup

E-mails not send

If you experience troubles while you are sending newsletters try one of the following:

Try to send a message to yourself, it is the easiest way to detect an e-mail problem;
Try disabling antivirus software on your computer, which may block the connections to your e-mail server;
If you are behind a firewall or proxy, ask your network administrator how to configure NewsDirector properly.

One way synchronization

Appointments Synchronize only one way

In some situations it could be that appointments only synchronize one way.

The reason is that at this point the Synchronizer is not able to update one or more of the files in the ICS folder.
ICS files (Incremental Change Synchronization) hold information on synchronized appointments for each user.

How to solve this:

Stop the Synchronizer
Open the Windows Explorer
Browse to the Exchange Synchronizer\ICS folder
Sort all the files by Date
Delete all files which are not from the present date and time
Restart the Synchronizer

At this point the Synchronizer will create new ics files and depending on the ammount of appointments there are, it might take some time to completely update all files.

Appointments Synchronize only one way

Synchronizing SuperOffice resources

It is possible to synchronize Superoffice resources. In the Synchronizer admin – User Synchronization settings you can see that the resources are listed in between the list of SuperOffice associates.

In order to use the Resources you have to make sure that these resources have a valid

E-mail address in Exchange.

Now you can link the SuperOffice resource to the correct E-mail address.

NewsDirector - Selections

Only static selections are supported by NewsDirector. Dynamic selections can be converted
to static by using the SuperOffice client.

Use SuperOffice template variables in PDFDirector

Use SuperOffice template variables - In the 'To E-mail' preferences of the PDFDirector you can use SuperOffice template variables. You can insert them in to the email subject and body. (This only works when you create a PDF from SuperOffice).

Yes, you can, but it is more efficient to use the 'Send To' shortcut menu items to do it.

For the different shortcuts there are 3 options:

PDFDirector -> To Disk;
PDFDirector -> To E-mail;
PDFDirector -> To SuperOffice.

Source key is invalid of message

Exchange Synchronizer V2

In the Synchronizer logfile you can sometimes see the following warning:

WARNING ExchangeIdentifierResolver: Source key is invalid of message:

This could mean that an item is deleted and does not exist in Exchange anymore. The Synchronizer tries to retrieve the Source Key on an item which no longer exists.

Another cause for invalid key codes could be because the exchange cache mode is turned on. Please check the mapi profile in the Technical Settings in the Synchronizer admin.

This is a warning only, no synchronization problems are to be expected.

unable to create synchronizer agents

When starting the Synchronizer you can get the following error : Unable to create Synchronizer agents.

- The problem could be that the rights on the InfoBridge folder are not set correct. You are not able to create a new file.
To sovle this, adjust the rights on the InfoBidge folder.

- It could also be that the UAC (User Account Control) is on (Vista). Please turn this UAC of and reboot your pc.

SQL Native Client error during startup of the Synchronizer

SQL Native Client error during startup of the Synchronizer

Customers using SQL 2005 sometimes receive an error during the start of the Synchronizer.

“Unable to login to the SuperOffice database, please re-check your connection settings”

Error: ERROR [28000] … Login failed for user ‘xx’

It could mean that ’dbAuthentication only’ is not checked in the SOAdmin.

Start SoAdmin

Go to the 'Users' section

Select a synchronizer user and tick the ’dbAuthentication only’ checkbox

When the errors still appears you should start the SQL Server Management Studio

Go to the Security folder
Open the Logins folder and select the user who has the login error
Open the properties and re-enter the password, confirm the password and click OK
Now please try to login again to the Synchronizer

The synchronizer stops while running the first sync run

The synchronizer stops while running the first sync run

In this case you should change or create a new mapi profile in the synchronizer admin.

Start the synchronizer admin and go to the technical settings.
Most of the time when the synchronizer crashes, you will see that the Mapi profile is set to ‘Default profile’.
Change the profile to another profile in the pull down list.
If no other profile can be chosen please create a new profile.

Note: Make sure the cache exchange mode is not checked.

InfoBridge License Key Manager - Manual

Outlook Synchronizer Login failed

As of late we noticed that customers using SuperOffice 6.3 were not able to start the Outlook Synchronizer.

During the start of the Outlook Synchronizer they were presented with a login screen which was already filled with there credentials.
When clicking OK you would see the message: "Incorrect user ID or password" (See attached screenshot)

This is caused by the trial license of SuperOffice 6.3 being expired.

To solve this you need a new key code from SuperOffice. After receiving the key code it needs to be entered in the SuperOffice Admin.
Now you will be able to start the Outlook Synchronizer without the need to login.

Synchronizer SuperOffice License

In case you want to upgrade the synchronizer V1 version (1.2.xx) to our latest synchronizer V2 (3.2.xx) there is one extra step to take after the installation has finnished.

- Start the Windows Explorer and open the Synchronizer folder
- Create a new blank text file in this Synchronizer folder
- Give this file the name SO.LIC

The Synchronizer Admin can now be started and you are automatically redirected to http://superoffice.infobridge.com
This site will automatically generate an activation code which needs to be entered in the dialog box displayed by the Synchronizer.

windows 7 - Synchronizer "unhandled exception"

Opening the 'User Synchronization Settings' in the Synchronizer Admin could give you an Unhandled Exception" error when you use Windows 7.

See the attached screenshot of the error message

The reason is that your display settings are set to 125% or higher.
The sollution in this case is to set the display settings to 100%

Right click on the Desktop
Choose 'Personalize'
Click on 'Display'
Choose 'Smaller - 100%(default)

NewsDirector - Unable to relay

When you are sending E-mail from the Newsletter wizard you could see a 'Recipient failed' message
If you receive an error like this, please make sure that the username and password are filled in correctly in the Email Settings of the NewsDirector configuration screen. It should be filled in like:

Domain\Username

NewsDirector - send Test E-mail

Within the configuration of NewsDirector you are able to send a test E-mail to test the connection
If you receive an error like "Failed sending test E-mail ....The server has rejected authentication data..", please make sure that the username and password are filled in correctly. It should be filled in like:

PDFDirector - Cannot find external application

PDFDirector

The PDFDirector is installed in your company on multiple clients. Some 32 bit and some 64 bit.
The shortcuts are created from a 32 bit machine. Thus pointing to C:\Program files\InfoBridge\PDFDirector

Using one of the shortcuts to PDF a document from a 64 bit machine will present you the message "can't find external application"
!See also the attached screenshot.

Why do you receive this message:
The PDFDirector on your 64 bit machine is installed in C:\Program files (x86)\InfoBridge

How to solve this:
Copy the PDFDirector folder to C:\Program files\InfoBridge

Phone prefix

The Synchronizer is able to synchronize phone numbers including the international country prefix. This way the phone number can be directly dialed from you SuperOffice appointment in your mobile phone.

It could happen that the prefix is synchronized incorrect. Like ++451234567

The prefix is synchronized this way because in the SoAdmin the country prefix has a prefix like +45. This should be 45

- So first make sure the prefix is correct in SuperOffice Admin
- Delete the synchronized contacts in Outlook.

Open Outlook
Open the contacts
Select 'View' 'By Category' (synchronized contacts are from the categories "superoffice company" and "superoffice selection")

- Start the synchronizer again

Upgrading the Synchronizer from the crm5 version to the v2 Synchronizer version 3.2.xx

This is a description on how to upgrade from SuperOffice Synchronizer on CRM 5 to

SuperOffice Synchronizer on SIX. SuperOffice Synchronizer on CRM 5 is also known as

InfoBridge Outlook Sync.

This guide applies to both the server edition and the personal edition, but only need to be

executed one time for each SuperOffice database

Before you begin

We expect that you already have:

Stopped all synchronization on all computers
Upgraded from CRM 5 to SIX
Installed SuperOffice Synchronizer (version 1.2.xx or 3.0.xx)
Started the Synchronizer Admin so that the new tables are created in the SuperOffice SIX database.

Do not start synchronization before this upgrade procedure is completed!

This conversion utility should only be used by customers who are currently using the SuperOffice Synchronizer for CRM 5 (also known as InfoBridge Outlook Sync) and have upgraded from CRM 5 to SuperOffice SIX.

This conversion utility should be started on the same machine where the SuperOffice

Synchronizer Admin is installed. The Synchronizer Admin should have been already started once to create the new tables in the SuperOffice SIX database.

Start the conversion tool by double-clicking on the OutlookSync2Synchronizer.exe file which is located in the Upgrade folder.

Settings for the OutlookSync2synchronizer utility:

Database with InfoBridge Outlook Synchronization Tables

Select the old SuperOffice 5.6 ODBC entry where the InfoBridge Outlook Sync tables are

available. Fill in the userid, prefix and password.

(E.g.: UserID: CRM5, Password: CRM5myd, Prefix: crm5)

SuperOffice Six

Select the SuperOffice Six ODBC entry database where the new Synchronizer tables are

available. Fill in the userid, prefix and password.

(E.g.: UserID: CRM5, Password: CRM5myd, Prefix: crm5)

These two database settings are almost always the same.

When successfully logging into the system, click the ‘Start’ button to start the conversion.

Now that the data is converted to the new tables we can start installing the v2 Synchronizer version 3.2.xx

In short the upgrade step are:

Download the setup file from our website www.infobridge.com
Beside the setup for the Outlook Synchronizer, you will find the Outlook cleaner tool.
Install the cleaner tool in the folder were the synchronizer is installed. (in case you use the outlook synchronizer, this has to be done on each machine running the synchronizer)
Start the cleaner tool. Choose to delete all synchronized appointments, tasks and contacts. See that a settings.txt document is made; this file holds all the settings of the users in the synchronizer admin. (In case you use the Outlook synchronizer you need to run the clean tool on all machines where the synchronizer is installed)
When the cleaning has finished you must choose to drop the tables.
Run the setup SetupExchangeSynchronizer_3.2.xx_6.exe
After installing you start the Synchronizer admin. A message will be presented that no synchronizer tables have been found. Click yes to create them.
Start the synchronizer admin again.
Make sure all settings in the Synchronizer admin are now set like they were in the old synchronizer. All settings can be found in the settings.txt document
The last step is to start the Synchronizer. Now all deleted outlook items will be synchronized back into Outlook again, this might take a while, depending on the number of appointments of course.

Private appointments

Private appointments

The v2 synchronizer now has the option to synchronize Private appointments.

Because private appointments should remain private of course there is a setting which you need to configure for each user:

Start the SoAdmin
Go to the 'Users' section
Select a sync user and click the 'License' button
Check the 'Allow Confidentiality' checkbox

This way a user is able to synchronize there private appointments and at the same time hide the text from there colleagues.
The only thing the other SO users will see in the calendar is the blocked appointment, but not the content.
